What Next?

Standardisation

The first step to our final solutions package is for the Municipality of Haarlemmermeer to take executive decisions on standardising their workflows. This means that their is top-down implementation of:
1. One communication platform like MS Teams internally/Outlook externally

2. A format and guide for employees to keep updating their profiles 
3. Only one way of dealing with files (for example, only sharing via a link/standard storage in Djuma/Citrus/Sharepoint etc.)

Dashboard redesign

Our prototype is a very first version that targets the most common complaints we received from the employees during our extensive research phase. This must be redesigned after testing with the employees to account for feasibility and organisational preferences.

MyLex integration

We also recommend a MyLex integration - MyLex is a search engine that makes it easier and quicker to search across the Municipality's database and including within the texts of documents which is something that the client prefers! We also had an intensive session with MyLex and believe in the power of their product to support the dashboard!

Campaign

These executive decisions must be followed by an organisation wide multi step campaign to spread information about changing workflows. This can be through newsletters, employee trainings, group meetings, and targeted content in order to push for behavioural change.

Dashboard development

After the final redesign of the dashboard, it can go for development. We recommend that the dashboard be developed and integrated with Microsoft's support. We had an intensive session with them to go over the feasibility of creating such a platform, and Microsoft has the best integrations that are suitable for a public institution like the Municipality of Haarlemmermeer.

Dashboard Adoption

Lastly, in order to ensure that the dashboard is not just another tech platform that is not being used, we highly encourage an adoption campaign. This can be a follow up to the previous campaign on behavioural change, and actually provide employees with the tech tool (dashboard) to execute their changed behaviours and standard way of working.
